What Sellers Should Expect at Closing

A 30–45 day closing involves a lot of moving pieces. Use the information below to stay ahead of payoffs, HOA documents, and signing logistics so closing day is uneventful — exactly how you want it.

As Soon as Your Contract Is Ratified

Once your contract is ratified, your agent will send a copy to our office so we can begin preparing for closing. To help us get started, please provide:

  • The full legal names and contact information for all sellers listed on the deed.
  • Each seller's current mailing address, phone number, and email address.
  • Each seller's marital status, if requested for deed or title requirements.
  • Information for any mortgages, home equity lines of credit, solar liens, judgments, or other liens that may need to be paid off at closing.
  • HOA or condo association contact information, if the property is located in an association.
  • The seller's preferred forwarding address for documents after closing.
  • Whether any seller will need a remote signing, approved notary, power of attorney, trust, estate, LLC, or other special signing arrangement.

Providing this information early helps us order payoffs, review title, coordinate documents, and avoid last-minute delays before settlement.

A Couple Weeks Before Closing

  • Provide payoff information for all mortgages, HELOCs, solar liens, and judgments that may need to be paid at closing.
  • Sign payoff authorization forms so our office can request statements on your behalf.
  • Provide HOA or condo association contact information and request the resale package if applicable.
  • Confirm a forwarding address where documents, refunds, or final paperwork can be sent after closing.
  • Notify us of any special signing arrangements — remote signing, approved mobile notary, Power of Attorney, trust, estate, or LLC.
  • Gather all keys, garage door remotes, mailbox keys, gate fobs, and pool keys to deliver at closing.
  • Collect warranties, appliance manuals, and HOA documents to leave for the buyer.
  • Schedule movers and submit a USPS change-of-address.
  • Coordinate final walk-through timing with your agent.
  • Notify your agent and our office immediately of any last-minute contract changes or addenda.

A Few Days Before Closing

  • Review the Closing Disclosure or Settlement Statement we send you.
  • Confirm how you'd like proceeds disbursed — wire or check.
  • VERIFY any wiring information BY PHONE using a number you already know. Never trust wiring instructions sent only by email.
  • Complete any final repairs required by the contract and save receipts.
  • Make sure the home is broom-clean and personal items are removed.

What to Bring to Closing

  • A valid, unexpired government-issued photo ID for each seller.
  • All keys, remotes, fobs, and access codes for the property.
  • Voided check or wire instructions for receiving proceeds.
  • Any documents the lender or our office has specifically requested.
  • If a seller can't attend, let us know as early as possible — remote or approved mobile notary signing may be available depending on the transaction, lender, title, and underwriting requirements.
